Freedom of Information Request: 0065 2019/20

University Hospitals Birmingham NHS Foundation Trust (UHB) completed a merger by acquisition of Heart of England NHS Foundation Trust (HEFT) on 1st April 2018.  Due to historical differences in data collection/reporting across UHB and the former Heart of England NHS Foundation Trust this response has been provided by hospital site.

Please can you tell me if there are any policies or guidelines regarding personal details held by the Trust after leaving?

In particular I would like to know, if personal details are held by the trust after your last working day, if they are held, how long for and what’s the purpose of this.

The Trust has policies in relation to the management of records and their appropriate retention periods. As per national guidance the policies require staff to use the guidance set out in the Records Management: Code of Practice for Health and Social Care. This is available at: https://www.gov.uk/government/publications/records-management-code-of-practice-for-health-and-social-care

The national guidance includes retention periods which are based on the function and content of the records, so records may be destroyed at different point.
