FOI 3718 FOI Computer System

I am interested to know what computer FOI system the Trust uses.

We do not have a specific system for FOIs but we use Datix which is used in the main for reporting incidents and logging complaints.

 

When was this purchased and is there an intention to buy another system in the future?

We started using Datix as a Foundation Trust in 2008 and are not aware of any replacement plans.

 

How many requests are stored on the system and can you please give a listing and description of the data fields which are used on the system.

 

Our current Datix system since 08/11/2012 – 1605 requests.  Our Archived datix system since 2008 1387 requests.

 

Only the main details of requests are stored on the system.  The correspondence is stored in a file structure on a shared drive and each folder is titled as per the reference number which datix generates.

Email address (on another screen)

Subject (Sensitivity)

Request from (Sensitivity)

Method (email or letter)

Received (date)

 

The system fills in these fields

Handler

Opened

ID: (Yours is 3718 as above)

The system also works out the dates due.

 

Once the request is complete we would fill in the outcome/refusal/exemption fields as appropriate.

 

We don’t have a manual on how to fill this in.
